Stine Consulting, LLC, encompassing Vela Creative Co. and Accessible Black Hills, is a forward-thinking creative marketing agency and accessibility consultancy. We are seeking a highly organized and detail-oriented Executive Assistant to be the CEO’s right hand, helping manage the day-to-day operations of the business.

Position Overview
As the Executive Assistant to the CEO, you will play a key role in supporting the daily functions of the business. You will manage communications, oversee scheduling, and provide critical support across various projects. You’ll handle key administrative tasks, including email and inbox management, team coordination, and meeting follow-ups. Additionally, you will be responsible for managing and optimizing our project management system, ClickUp, and creating new processes and SOPs to streamline operations.

Key Responsibilities
  • Manage and organize the CEO’s inbox, prioritize emails, and respond on their behalf when appropriate.
  • Communicate with employees, clients, and leads, ensuring clear and timely follow-ups.
  • Take detailed meeting notes and ensure action items are documented and implemented.
  • Coordinate with the team on various projects and ensure deadlines are met.
  • Prepare weekly status reports on all client projects to ensure nothing is missed and projects stay on track.
  • Manage the company’s ClickUp project management system to keep it organized, up-to-date, and efficient.
  • Develop and implement new processes, including Standard Operating Procedures (SOPs) to improve team efficiency.
  • Assist with client project reports, analytics, and campaign performance tracking.
  • Proofread documents, presentations, and reports to ensure accuracy and clarity.
  • Prepare and manage client hours and billing reports.
  • Provide general administrative support such as scheduling, travel planning, and expense tracking.
  • Handle other day-to-day tasks and projects as needed to support the CEO and the business.

Qualifications
  • Proven experience as an executive assistant or in a similar administrative role.
  • Strong organizational skills with excellent attention to detail.
  • Exceptional written and verbal communication skills.
  • Proficiency with Google Workspace, and project management tools.
  • Experience with ClickUp or similar project management systems, including the ability to create workflows and manage tasks.
  • Ability to manage multiple projects and priorities in a fast-paced environment.
  • Analytical mindset and experience with reporting and data management.
  • Ability to work independently and as part of a team.
  • Experience in creative or accessibility-focused industries is a plus.
